This policy explains what personal information Copywrite Matters, LLC (“Copywrite Matters”, “we”, “us”, “our”) collects, why we collect it, who we share it with, and the choices you have.
We’ve written it in plain English. If anything isn’t clear, email us at support@copywritematters.com.
1. What this policy covers
This policy covers all our brands, websites and services, including:
- Copywrite Matters
- First Impressions Copy
It covers our coaching, digital products and done-for-you copywriting services. It also covers our checkout pages, emails, calls and any other way you deal with us online.
We also hold information from programs we no longer run, such as past membership and course recordings, posts and account details. We handle that information under this policy too.
It doesn’t cover other companies’ websites or services, even if we link to them.
2. Information we collect
Information you give us
- Your name and email address when you join our email list, download a freebie or contact us
- Your name, email, billing address and order details when you buy something
- Your account details when you join a coaching program or course
- Anything you post, upload or submit in our coaching programs and courses, including questions, comments and work you share for feedback
- Your answers to surveys, questionnaires, intake forms and client briefs
- What you say during calls, coaching sessions and workshops (see section 3)
- Anything you send us by email or message
We don’t receive or store your full card details. Payments are handled by our checkout provider and its payment processors.
Information collected automatically
When you visit our websites, we and our tools collect information such as your IP address, browser and device type, the pages you visit, how long you stay and the site you came from. Some of this is collected using cookies (see section 7).
When you open or click our emails, our email platform records that.
Information from other people
If you’re a copywriting client, you may give us information about your own customers, such as testimonials, reviews or survey answers. We only use it to do your project.
If you buy through an affiliate, the affiliate platform tells us who referred you. If someone books a service or buys a product for you, they may give us your name and email.
3. Calls, recordings and transcripts
We record many of our calls, including coaching calls, group coaching calls, workshops and client calls. We’ll tell you before or at the start of a call if it’s being recorded. If you don’t want to be recorded, tell us and we’ll find another way to help you, such as switching off the recording, or you can turn your camera off and ask questions in the chat.
We use recordings and transcripts to:
- Give coaching clients and students replays
- Create notes, summaries and action items
- Remember what was discussed so we can do good work for you
- Improve our programs and content
Group coaching and workshop recordings are stored in our course platforms and are available to participants as replays. Client call recordings and transcripts are kept private and are only used for that client’s work.
4. How we use AI tools
We use AI tools in our business. Here’s what that means for your information.
What we use AI for
- Transcribing and summarising calls (for example, Zoom’s transcription features and Granola)
- Pulling insights from call transcripts and survey answers
- Research, idea generation, drafting and editing
- Organising files and running admin tasks
What goes into AI tools
Call transcripts, survey answers, client briefs and other information you share with us may be processed by AI tools, including Claude (made by Anthropic).
Our rules for AI
- We don’t use AI tools to make decisions about you that have legal or similarly significant effects, such as deciding whether you can buy from us.
- We use settings that stop our AI tools from using your information to train their models, where those settings are available.
- A person (that’s us) always reviews AI-assisted work before it’s delivered to clients or published.
5. How we use your information
We use your information to:

- Process orders, refunds and payments
- Give you access to replays and program materials
- Send you emails you’ve signed up for, including marketing emails you can unsubscribe from at any time
- Send account, order and service emails
- Answer your questions and give you support
- Understand how people use our websites so we can improve them
- Share testimonials, but only with your permission
- Keep records for tax, accounting and legal reasons

7. Cookies and tracking
Cookies are small files stored in your browser. We use:
- Essential cookies that make our websites, checkouts and logins work
- Analytics cookies (Google Analytics) that show us how people use our websites
- Advertising cookies (Meta pixel) that measure visits and could be used to show you our ads on Facebook and Instagram
- Affiliate cookies that track sales made through affiliate links
Where the law requires it, we’ll ask for your consent before using non-essential cookies, and you can change your choice at any time. You can also block or delete cookies in your browser settings.
8. Advertising
We don’t currently run paid ads. Our website has the Meta pixel installed so we can measure visits and, if we start advertising, show our ads to people who’ve visited our websites.
If we run ads in future, we may use information collected by the Meta pixel and Google tools to show our ads to people who’ve visited our websites. We won’t upload your email address or other contact details to advertising platforms without updating this policy first.
You can opt out of this kind of advertising by declining advertising cookies, using your browser’s privacy settings, or turning on Global Privacy Control in your browser. We treat a Global Privacy Control signal as a request to opt out.
9. When we share your information
We don’t sell your personal information.
We share it only:
- With the tools listed in section 6, so they can provide their services to us
- With affiliates, but only the details needed to pay their commission (for example, that a sale happened and its value)
- With professional advisers such as our accountant or lawyer, when needed
- If the law requires it, such as a court order
- To protect our rights, our users or the public from fraud, harm or illegal activity
- If our business is sold or merged, with the new owner, who must protect your information in line with this policy
10. How long we keep your information
| Information | How long we keep it |
|---|---|
| Email list details | Until you unsubscribe, plus a short period to make sure we don’t email you again |
| Purchase and payment records | 7 years, for tax and accounting reasons |
| Course and program accounts | As long as you have access |
| Group coaching and workshop recordings | For as long as the program’s replay library runs |
| Information from programs we no longer run | Until deleted on request |
| Client call recordings and transcripts | Until deleted on request |
| Survey and questionnaire answers | Until deleted on request |
| Emails and support messages | Until deleted on request |
You can ask us to delete your information at any time (see section 12). We may need to keep some of it, such as purchase records, for legal reasons.
If you appear in a group call recording and want to be removed, contact us. We’ll do our best, for example by editing or removing the section you’re in, but this isn’t always possible without removing the replay for everyone.
11. International transfers
We’re based in the US, and many of our tools store information in the US. If you’re outside the US, your information will be transferred there. Where the law requires it, we rely on safeguards such as the tool provider’s standard contractual clauses or its certification under the EU-US Data Privacy Framework.
12. Your rights
Wherever you live, you can ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct anything that’s wrong
- Delete it
- Stop sending you marketing emails (or just click unsubscribe in any of our emails)
Email support@copywritematters.com to make a request. We may need to confirm your identity first. We won’t treat you differently for using your rights.
If you’re in the EU or UK, you also have the right to object to or restrict how we use your information, to withdraw your consent at any time, to receive your information in a format you can transfer, and to complain to your local data protection authority.
If you’re in a US state with a privacy law (such as California, Colorado, Connecticut, Virginia, Texas and others), you also have the right to opt out of the sale of your information (we don’t sell it), to opt out of targeted advertising and the “sharing” of your information for advertising (see section 8), and to appeal if we refuse your request. To appeal, reply to our decision and tell us why.
If you’re in Australia, you can ask to access or correct your information. If you’re not happy with how we’ve handled your information, you can complain to the Office of the Australian Information Commissioner.
13. Children
Our products and services are for adults. We don’t knowingly collect information from anyone under 18. If you think someone under 18 has given us their information, contact us and we’ll delete it.
14. Security
We use reasonable safeguards to protect your information, including choosing reputable tools, using strong passwords and two-factor authentication, and limiting who can access your information. No system is completely secure, so we can’t guarantee your information will never be accessed without permission.
If a data breach affects your information and the law requires us to tell you, we will.
15. Changes to this policy
We’ll update this policy when our tools or practices change. The date at the top shows when it was last updated. If we make a big change, we’ll tell you by email or on our website.
