5 free client experience fixes that beat an expensive custom portal

The big spoiler: A 5-star client experience for copywriting clients doesn’t need client management software like Dubsado, Honeybook, or a custom-built portal.

I’ve circled Dubsado and Honeybook for years. The workflows, the client portals, all of it looked so slick but the price tag did not appeal, especially when I only work with a few clients at a time.

So I built my own!

Am I a secret software developer? Noooo. I’m using the Teachery course platform to create private client hubs and answer questions like: Where is the latest version of the lead magnet you’ve been writing? Can you send me the messaging guide you wrote last year? Where are we up to? When is my next invoice due?

Every email takes at least 5 minutes to reply to, adding another 5 minutes to my project admin quota.

I created a course, called it a client hub, then added “lessons” covering:

  • Welcome info: how the hub works, how we communicate, how revisions work
  • Links to our agreement and billing, including when the next invoice is due
  • The current project: brief, booking links for calls, the live version of the copy, offboarding info
  • Every past project, with the final signed-off copy sitting right there

I sent it to one client expecting her to be anywhere between ambivalent and overwhelmed. Instead, I got this:

Building the client portal wasn’t the hard part; I love me some tech nerding with a new tool. It was sitting down and figuring out what would be genuinely useful, starting with a brainstorm about where my clients are actually getting tripped up.

  • What’s the thing I’ve had to explain the same way three times this year?
  • What am I getting asked, over and over again?
  • What’s annoyed me as someone else’s client that I’ve muttered that I would never do to my own clients?

No matter where your system lives, your goal is to solve problems before they become problems.

A 5-star client experience isn’t actually hard to achieve, as depressingly, the bar for service providers is embarrassingly low. You really just need to:

  • Be clear about what you’re doing and when you’re doing it
  • Then, do it.

But we’re not here to meet the lowest possible standard, are we? No, we’re not.

A better-than-average client experience isn’t just a nice-to-have. It could mean the difference between a client booking me for another copywriting project… or not.

That’s why client management matters for copywriters.

It’s one of the cheapest ways to make your copywriting pipeline a lot more stable. A quick Google search will show you 100 articles talking about how referred and retained clients cost less to win and spend more with you over time than clients you’re chasing cold.

And, honestly, which would you prefer? A project schedule mostly filled with repeat clients and referrals, or hitting your lead gen efforts from zero after each project?

Dumb question, I know.

So the question isn’t “should I improve the client experience for my copywriting clients?” It’s “how can I improve my client management so it’s not an expensive ball-ache for me to set up and deliver?

How do you stop clients messaging you for a project update?

Add a “you are here” status line to every project email.

It’s part progress bar, part don’t-panic button, and it’s stopped more than one client from hassling me for an update mid-project.

How do you stop losing client files?

I hate looking for files. Even though Google Drive has (chef’s kiss) search capabilities, I’m often pulling my hair out looking for a resource I downloaded to the pit of my Google Drive.

So I make sure my client files are never hard to find with a clear naming standard. You could use:

[Project name] [Version], [Client name], or [Client name] [Project name] [Version] [Date].

It doesn’t matter whether you put the date first, the client name, or the project name, as long as it’s consistent and makes sense to your client too (because they’ll be searching for these files just as often as you do).

What should you title a client meeting?

Every copywriting project has meetings (as much as we might try to avoid them). The discovery call, copywriting briefing call, messaging workshops, VOC interviews, debriefs and so on.

And titling them “Meeting with [client name]” is NOT helpful when whatever you call the meeting is what shows up on your client’s calendar too (and all they’ll see is that they have a meeting with themselves).

So give your client meeting titles some thought!

I always add context so we both know what we’ll be talking about. Like, “Copy brief: [my name] and [client name].”

How do you cut down revision rounds on a first draft?

There are a few ways you can reduce copywriting revisions but the number #1 way is to reduce uncertainty. When you hand over your copy, create a short video explaining your approach and the specific choices you made, linking back to the brief they signed off on.

It’s a small flex that dramatically cuts down on revision rounds because you’re answering all the “why did you do it this way” questions before they get asked. More confidence in your skills = a more satisfied client experience!

Keep it tight though, 15 minutes per handover video and make sure you factor that extra time into your project quote. No free admin homey!

How do you stop clients messaging when you’re not available?

Implied availability during business hours on business comms channels might seem obvious, until you have a client who hasn’t heard of boundaries.

If you include your availability and preferred comms channels in your contract and onboarding information, and even in your client email signature, you’ll protect the big life you’re building outside of work. And clients won’t resent you not replying because they don’t expect you to.

Next level: create an out-of-office message that explains your business hours when it’s not business hours.

Remember, a solid client experience starts with setting expectations, then meeting them.

A 5-star client experience doesn’t have to be expensive. 

It just needs to be thoughtful, and these easy-peasy, low-lift ideas make working with you a breeze. And you don’t need to pay for or build your own custom client portal.
